The successful candidate must fully understand the operations of the company, as well as the roles of individual employees in order to keep the office running smoothly. This knowledge is essential to promote a positive corporate culture and utilise company resources in the most appropriate ways.
DUTIES INCLUDE: 1. Customer Service & Administrative Tasks :: Front Office Supervisor must ensure that the area is clean and acceptable to visitors. :: Supervise the daily operations of the front office and ensure that the existing rules and policies are followed. :: Verify all bookings received daily and ensure that all is properly entered into the system and filed away. :: Monitor guest accounts and reconcile invoices against other receipts, dockets, invoices attached to reg form daily and upon check out. :: Ensure that commission and other discounts originating from specials offered are accurately posted and invoice is transferred to the correct Debtors account. :: Attend to general email correspondence. :: Ensure that office is clean and Files belonging to Accounts, Reservations, F&B etc are properly labelled and stacked away. :: Company properties are not to be abused. This includes telephone (landline), printers and papers etc. :: Conduct and manage daily stock count, ensure all is properly updated in existing spreadsheet and filed away. :: Any other duties requested or assigned by Management. 2. Management The Office Supervisor is to assist in training employees, assign tasks to office staff, provide feedback and perform performance reviews. 3. Office Maintenance To verify that the area is stocked with essentials, such as towels, Snorkelling gear, umbrellas etc, as well as relevant publications (books & magazines) that customers can peruse while waiting at lobby area. You will also manage office supplies, such as paper and ink cartridges etc. FRONT OFFICE SUPERVISOR SKILLS The incumbent must meet the following: - Computer proficiency - Good English - Leadership abilities - Communication skills, both spoken and written - Document processing - Filing - Problem solving - Attention to detail
